1. Who we are

GS Executive Chauffeur Services ("GS Executive", "we", "us") is the data controller for the personal data described in this policy. A data controller is the organisation that decides why and how personal data is used, and is responsible for looking after it.

Data collected automatically

When you use our website, our server records technical information such as your IP address, browser and the pages requested, in security logs. When you send a form, your IP address is included in the message we receive, so we can spot misuse. A strictly necessary session cookie holds a security token, a count of recent form submissions, the time a form was opened and the reference of your last enquiry, to protect our forms from spam and abuse.

Only if you agree through our cookie banner, Google Analytics collects pseudonymous information about how you use the website (pseudonymous means it does not show your name, but relates to your device). We also record when someone sends an enquiry or taps to call, WhatsApp or email us, without any names, email addresses, phone numbers or addresses.

Data from other people

Sometimes someone else gives us your details, for example a personal assistant booking for an executive, a family member booking for a relative, or a hotel concierge booking for a guest. If you book for someone else, please make sure they are happy for you to share their name, mobile number and journey details with us.

Special requests

Special requests can include health or accessibility information, such as mobility needs. We use it only to provide your journey, with your explicit consent. Please share only what we need to know to look after you.

3. How we use your data and why

Data protection law says we must have a valid reason, called a lawful basis, for each way we use personal data. The table sets out what we do, which data we use and the lawful basis we rely on.

Where we rely on legitimate interests, we have balanced our interests against your rights, and you can object at any time (see your rights).

We do not use your data for automated decision-making or profiling that has legal or similarly significant effects. Every quote is prepared by a person.

4. Marketing

We do not send marketing emails or messages unless you ask us to. Sending a quote request, enquiry or account application does not sign you up to marketing. We use your details only to deal with your request and any booking that follows.

5. Who we share your data with

We never sell your personal data. We share it only where we need to, with:

  • Your chauffeur, who receives the passenger names, mobile numbers and journey details needed to carry out your journey.
  • Service providers who handle data for us under our instructions (called processors), listed below.
  • Professional advisers, such as our accountant or lawyers, where needed.
  • Authorities, such as the police, a licensing authority or HMRC, where the law requires it.

We use trusted third-party service providers to support website hosting, business communications and payment processing. These providers may process personal information on our behalf in accordance with applicable data protection requirements.

If you choose to message us on WhatsApp, your messages are handled by WhatsApp (part of Meta) under its own terms and privacy policy.

6. International transfers

Some of our service providers, such as Google, may process personal data outside the UK. When personal data is transferred outside the UK, it must be protected by safeguards recognised under UK law, such as UK adequacy regulations (where the UK has decided another country protects data well enough) or the International Data Transfer Agreement or Addendum (standard contract terms approved for UK transfers).

You can ask us for more information about the safeguards for any provider by contacting bookings@gsexecutivechauffeurservices.com.

7. How long we keep your data

We keep personal data only for as long as we need it for the purposes in this policy, including to meet legal, accounting and licensing requirements. When we no longer need it, we delete it securely.

Analytics cookies themselves expire on their own schedule, explained in our cookie policy.

8. How we keep your data safe

We take sensible steps to protect your personal data:

  • Our website uses an encrypted connection (HTTPS), so the details you type into our forms are protected in transit.
  • Form submissions are sent to us by email; they are not stored in a database on the website.
  • Only the people who need your details to deal with your enquiry or journey can see them.
  • The folders on our server that hold settings and logs are protected from public access.
  • Our forms are protected against spam and misuse with security tokens, a hidden spam trap and limits on repeated submissions.
  • We use a secure, business email service.

No method of sending or storing data is completely secure, but we work to protect your data and will act promptly if something goes wrong, including telling you and the ICO where the law requires.

9. Your rights

Under UK data protection law you have the right to:

  • access your personal data and receive a copy;
  • rectification: have inaccurate or incomplete data corrected;
  • erasure: have your data deleted in some circumstances;
  • restriction: ask us to limit how we use your data;
  • portability: receive data you gave us in a structured, machine-readable format, or have it sent to another organisation;
  • objection: object to us using your data, including where we rely on legitimate interests;
  • withdraw consent at any time, where we rely on consent (for example analytics cookies). This does not affect anything we did before you withdrew it.

We usually respond within one month, and it is normally free. We may need to confirm your identity before acting on a request, and we will explain if an exemption applies or if we need more time.

To use any of these rights, use our privacy request form or email bookings@gsexecutivechauffeurservices.com.

Complaints

If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk (opens in a new tab), helpline 0303 123 1113.

10. Cookies

Our website uses two strictly necessary cookies: one keeps your visit and our forms secure, and one remembers your cookie choices. Analytics and marketing cookies are set only if you agree, and you can change your mind at any time. Our cookie policy lists every cookie.

11. Third-party links and services

Our website links to other websites and services, including Google, Trustpilot, WhatsApp, Facebook and official event websites. When you follow a link, the other website's own privacy policy applies, and we are not responsible for how it uses your data.

If you message us on WhatsApp, your messages are processed by WhatsApp (part of Meta) under its own terms. If you prefer, you can call or email us instead.

13. Children

Our website is not aimed at children, and bookings must be made by adults. Where a booking includes children, for example family travel or a prom, the adult making the booking provides the details we need, and we use them only to provide the journey.

Use your data rights

Choose the right you want to use in the form below, or email bookings@gsexecutivechauffeurservices.com. We'll respond within one month.

14. Changes to this policy

We review this policy when our services, suppliers or the law change. The effective date and version at the top show when it last changed. If we make a significant change, such as using your data in a new way, we will show a notice on our website and, where appropriate, tell you directly.
